Purpose

To provide instructions for adding or changing website items using the shared spreadsheet, master spreadsheet, and product script on the DEV server.

Scope

This procedure applies to staff responsible for processing website item additions or changes after updates are prepared in the shared Teams spreadsheet.

Prerequisites

  • Noura has updated the shared Teams spreadsheet.
  • Access to the DEV server and LevelUp folders is available.
  • The user can open and save the required spreadsheet files.
  • The user can run the PowerShell product script.

Procedure

  1. Log in to the DEV server and open the LevelUp folder on the desktop.

  1. Copy and paste the file named CI-WooCommerce-Product-Input, then rename the copied file using the next version number or naming convention.
  2. Open the shared Teams spreadsheet updated by Noura and turn on filters.
  3. In the spreadsheet, choose the Filter by Color option.
  4. Copy and paste only the highlighted items into the master spreadsheet on the DEV server.
  5. Save the master spreadsheet on the DEV server.
  6. Return to the Scripts folder and open the PowerShell application.
  7. Drag the Product Script into the PowerShell window.
  8. Press Enter.
  9. Choose option 1, 2, or 3 as required, then press Enter.
  10. Wait until the script completed message appears.
  11. Check the staging website for the requested change.
  12. If the only requested change was to make the product unavailable on the website, confirm the product is set to not be published.
  13. Open the product record for additional detail when needed.
  14. Confirm the product name and details reflect the requested change.
  15. Search for the product that was added or changed.
  16. Navigate to Products, then select All Products.
  17. Log in to the WordPress admin area using your authorized account.
  18. Repeat steps 8-11 for production website
  19. Check the production website for the requested change.
  20. If the only requested change was to make the product unavailable on the website, confirm the product is set to not be published.
  21. Open the product record for additional detail when needed.
  22. Confirm the product name and details reflect the requested change.
  23. Search for the product that was added or changed.
  24. Navigate to Products, then select All Products.
  25. Log in to the WordPress admin area using your authorized account.
  26. Return to Noura’s spreadsheet, turn off filters, and copy the entire sheet into the master file on the DEV server.
  27. Save the master file.
  28. Notify Noura so she can confirm the changes are correct.
  29. After confirmation, Noura will remove the highlighting from the spreadsheet.

 

Quality / Verification

  • Confirm only highlighted items were copied during the filtered update step.
  • Confirm the product script completed successfully.
  • Confirm the website reflects the requested change before final sign-off.
  • Confirm the master file on DEV server is resaved with all items from shared sheet in teams.   

Notes

  • The exact version naming convention for the copied input file should follow the team’s existing standard.
